Poster Session Chair Guidelines
All poster sessions take place at The Henry B.
Gonzalez Convention Center, in the Exhibition Hall on the
lower level. Poster presenters are asked to hang their
poster, in the designated location, during the morning of the day
of the presentation. The posters will be visible all day, but
the defined time for presentation is immediately following the
afternoon break.
Please check the meeting program for specific details.
NOTE: All Presenters and Session Chairs are
required to pre-register for the Seminar. Discounted rates
are available.
As a Poster Session Chair, you will share the responsibility of
ensuring the quality of the presentations in your session. The
responsibilities for Poster Session Chairs are outlined below:
- Arrive in the poster area at least one half hour before the
session is scheduled to start. Make sure authors' poster
boards are numbered properly.
- Coordinate with your co-chair to meet and monitor each
presenter in your session. Please check the program and addendum
for any changes or updates to your session
- Monitor the presentations. You may politely
interrupt speakers in order to ask them to speak more audibly,
slowly, or clearly; to face the audience; or to briefly explain the
message of an unclear point of information.
- Encourage participation by introducing persons in the area to
specific authors and performing "crowd control" as necessary. If a
paper draws no questions from the floor, you are encouraged to ask
questions in an attempt to stimulate discussion, if time allows. On
the other hand, some papers elicit more than the usual number of
comments; judge accordingly
- Should any problem develop with poster set up, facilities, or
equipment, contact an FCS&E staff person located at the
Registration Desk
