ICW Meetings

In-Conjunction-With (ICW) Meetings are a great way to meet with colleagues while at the Fuel Cell Seminar & Exposition.  Rooms at the Phoenix Convention Center are available for rent through the FCS&E.

If you would like to hold an ICW Meeting please complete the Application Form.  You may submit the completed form via email to fuelcell@courtesyassoc.com  or fax to 202-331-0111 to the attention of Sarah Croke.

All space assignments will be based on availability and fulfilled on a first come, first served basis.  To ensure that your meeting qualifies for a meeting space, please pay close attention to the Meeting Guidelines.

Meeting Room Guidelines

You must meet the following guidelines to qualify for an In-Conjunction-With Meeting at the 2008 Fuel Cell Seminar & Exposition.

  1. At least one person from the organizers group must be registered for the Seminar, as either a technical registrant or an exhibitor.

  2. Meetings with more than 15 attendees may not occur at the same time as Technical Sessions

  3. You may not conduct commercial business sales from any of the available rooms.

  4. Unless otherwise authorized, you may not re-arrange the meeting room while onsite. If you disregard this requirement, a $50 reset fee may be charged. 

  5. As the organization contact, you will be responsible for arranging all food and beverage and audiovisual needs.  Contact information will be included in your Meeting Room Confirmation.

  6. As the organization contact, you are also responsible for meeting registration, as well as overall meeting management.
     

  7. Room rental payment must be received prior to room assignment.

  8. You will be financially responsible for any food and beverage and audiovisual equipment requirements for your meeting. The FCS&E will not be held responsible for any unpaid food and beverage or audiovisual invoices. 
Payment Information

Room Rental Fees:
Half Day fee (4 hours or less): $250.00
Full Day fee (more than 4 hours): $500.00
Multi – Day (2 or more consecutive days): $400/day
Banquets or Receptions*: $300.00

*Note: the fee to hold a banquet or reception is in place of the half day and full day room rental fee.

Room rental fees are due upon receipt of this application.  Once your form is received by our office and payment has been processed, you will receive a confirmation by email with your room assignment and further details.  Rooms will not be assigned until payment has been processed.  Should you need to cancel the meeting, you will be refunded all fees, less a $50 processing fee.

*Please note you must submit one (1) application for each individual meeting or event.
